The following monthly articles provide a running log of software updates or enhancements. Updates may apply to all ProjStream software tools or may be product specific. Each article includes a summary of what changed or what functionality was added to the software.

Main Estimate Window, Fee Tab

A new Fee tab has been added in the main Estimate window that provides another option to calculate and include fee values for a proposal. There are a number of options for handling fee calculations in BOEMax depending on how you want to apply and calculate fee for a cost volume submission. The customer may have specific instructions on how they want you to separate out fee details in your cost estimate. This could be at a detail level or total level.

Work Packages Assigned Travel Assumption, Travel Form

The Travel Form has been enhanced to include the option to use GSA airfare and Per Diem rates. This is an active data pull from the GSA web site to use the current available rates. Two options have been added to the Travel Form to select the GSA rates you want to use for the travel basis of estimate.

Project Options, Copy From and Export to XML

Manage Projects window, Ribbon Menu (Project Data > Projects). The options to create a new project from an existing (New Copy From) and the Export To XML have been enhanced to include additional project related artifacts. The export to XML option is often used to create a backup copy of a project. The XML file can then be used to restore a project or to create a new project using the Ribbon Menu Import From XML option.

The latest release of BOEMax, MaxTeam, and EVMax includes a set of major enhancements designed to support industries such as construction that estimate, plan, and status using quantities, specifically material take off quantities, required to complete a project. The bill of material (BOM) functionality has been extended to include the ability to identify the required labor trade crafts and labor rate factor associated with a material line item. The material quantity, related labor trade craft, and labor rate factor can be used to determine the related estimate or budget labor hours along with the direct cost for the material. The shared database for all of the products has also been updated to handle time phased BOM quantities.

Enterprise Nodal Structure, Resource Role Capacity

Enterprise Nodal Structure window (Home > ENS). 
  • A Set Calendar option has been added to the Ribbon Menu. You can now select a global calendar you can use for cross-project resource capacity and demand analysis so you have a common set of calendar periods for all projects. You set this once for the ENS. This global calendar is only used for the ENS resource capacity settings, the project specific calendars are unchanged.
  • Edit ENS Node, resource role Capacity tab. When you set a calendar for the ENS, a Capacity by Period column is included in the Capacity tab. You can use this column to set custom resource role capacities for specific accounting periods. For example, the quantity may change to reflect seasonal changes in available personnel. The default is the capacity you set for the role (Capacity column entry).

Using the BOM to Status Material Work Packages
The capabilities in the Resource BOM window has been enhanced so that you can use the window to enter quantities earned to calculate earned value. You can also import or enter the actual quantity and unit price so that you can calculate material price and usage variances.

System Search and Copy
The search function was enhanced so it is easier to find historical estimates and actual costs from other projects to copy into your current proposal project. The search function is now an option in the main Estimate window Ribbon Menu instead of a sub option when adding a new work package. With the enhanced System Search window, you can search on any column as well as apply a filter. The enhanced System Search window columns include the Project, WBS, WBS Description, Work Package (WP), WP Description, Resource, Duration, any user defined codes such as WBS and work package attributes, and control account or work package documents such as the SOW or BOE rationale. When you copy the data, you can also pull in the user defined codes and documents. As before, you can apply a complexity factor as well as select the Calendar set and starting calendar period for the data you are copying into your proposal project.

Cost Groups in Totals
You can now control which cost report group is used for the total columns in the main Estimate window (BOEMax Budget column) or the main MaxTeam/EVMax window (Budget, Actual, Earned, and ETC columns).  There is a new option in the Ribbon Menu, Admin tab, labeled “Cost Groups in Totals” that displays a dialog box to set these for the selected project in the applicable software tool.  This also controls the columns shown in the Enterprise Nodal Structure window (Home > ENS).

Element of Cost Code Structure
You can now modify the content of the shared system level element of cost code structure. A Navigation Menu option has been added (Project Data > Element of Cost) to tailor the default set of cost elements to your business environment. Elements of cost (EOC) or cost elements are the summary categories of cost such as labor, material, and other direct costs. All ProjStream software tools and projects share this system level list of summary EOC categories and optional subcategory detail. You can also use the EOC categories as resource attributes for reporting and other purposes.
